What data we collect
- When you request a quote or contact us via our website form — name, phone number, email address, property address, and details about the property or service you're enquiring about.
- When you submit an enquiry via a Facebook or Instagram lead form (Meta Lead Ads) — the same categories of information, passed to us by Meta and added to our customer system. Meta's own privacy policy covers that initial collection; this policy covers what we do with it afterwards.
- When you call or email us directly — a record of that call or email, so we can respond to and act on your enquiry.
- When you use our website — technical data such as IP address and browser/device type, and, only where you've given consent via our cookie banner, advertising and analytics identifiers. See our Cookie Policy for full details.
- When we contact your business about our services — the business contact details we use (usually a role-based address such as a property, estates or facilities team, occasionally a named person with that role) together with the address of the site we noticed, and the page we found those details on. We collect these from published sources: your organisation's own website and publicly available mapping imagery. We never buy contact lists and we never fill in website contact forms.
- When you become a customer — booking details, quote and invoice records, and any notes relevant to carrying out and being paid for the work.

We do not sell your personal data. We do not send marketing emails to private individuals unless you separately opt in, and you can withdraw that consent at any time. We do write to organisations about work at their premises — the section below explains where we got your details and how to stop it.
If we emailed your business
If you received an email from us about a building you own or manage and you have never been in touch with us, this section is your privacy notice under Article 14 of the UK GDPR.
- Where we got your details — an email address published on your own organisation's website, on the page named in the email we sent you. We also use publicly available satellite and street-level imagery of the building itself.
- What we hold — that email address, the role or team it is published for, the page we found it on, the site it relates to, and a record of what we sent and whether you replied.
- Why — our legitimate interests in offering roof, gutter and exterior cleaning to organisations responsible for buildings that appear to need it. We assess this against your interests and use only business contact details published for this kind of enquiry.
- How to stop it — reply to the email and say so, or email contact@gloucestershireroofcleaning.co.uk. We add the address to a do-not-contact list and never email it again. You can also ask us to delete what we hold.
- How long — details of organisations we contacted are kept for up to 24 months from the last contact. A do-not-contact record is kept indefinitely, because deleting it is how people get contacted twice.
Who we share your data with
- Cloudflare — hosts our website and the form pipeline that temporarily holds submissions before they reach our customer system
- IONOS SE — hosts the server our customer management system runs on, and provides our business email
- Google — Google Ads conversion tracking, including limited matching of your email/phone for ad measurement, and Google Analytics — both only with your consent
- Microsoft — Clarity session-recording analytics, only with your consent
- Meta (Facebook/Instagram) — provides our lead-generation adverts and passes on enquiry details you submit via those ads
Some of these providers are based in or transfer data to the United States. Where this happens, transfers are protected by UK-recognised safeguards such as the UK-US Data Bridge or Standard Contractual Clauses.
How long we keep your data
- Enquiries that don't turn into a booking — up to 24 months from your last contact with us, then deleted or anonymised.
- Customer and job records (quotes, invoices, bookings) — up to 6 years after the work is completed, in line with our accounting obligations and to cover our 2-year moss-free guarantee.
- Business contacts we approached — up to 24 months from the last contact. Do-not-contact records are kept indefinitely so the address is never emailed again.
- Analytics and advertising data — per the relevant provider's own retention; see our Cookie Policy.
Your rights
Under UK GDPR you have the right to access, correct, delete or restrict use of your data, to receive a copy in a portable format, to object to certain processing, and to withdraw consent at any time. To exercise any of these, email contact@gloucestershireroofcleaning.co.uk — we'll respond within one month.
Complaints
